Crown China Universities Scholarships Transfer Programme (CUSTP) is a bespoke scholarships Secretariat between Crown University and government of China and many overseas nations such as Europe, USA, Asia, Australia and Middle East. The scholarships is an exclusive collaboration between the Teacher Trainees Association of Ghana (TTAG), the Ministry of Education and the office of the Vice President of the Republic of Ghana designed to export higher education overseas. At a stakeholders meeting a joint institutional Memorandum of Understanding between Crown and TTAG was signed through the ministry of education for 1,000 juicy scholarships seats available yearly by mutual and Bilateral cooperation agreement between Crown University & Sanmenxia University to Ghanaian and African students. This led to the opening of international offices in Asia officiated by the Director of International & Asian Affairs (Mr. Quintus Yao Doemakpor) whose outfit is deputised by our Head of International Cooperation & Global Exchanges (Mr. Larry Kofi Agbador) in China.


Job Title: Scholarship Coordinator

Job Description Summary:

♦ Manage the scholarship applications and award process
♦ working with the Office of International Affairs and related agencies.
♦ Facilitate the setting of year-to-year scholarship award amounts, monitors and ensures compliance with donor agreement guidelines, works with our Head of International Cooperation & Global Exchanges to negotiate changes to guidelines when appropriate in order to award scholarships
♦ serves as a liaison with all Colleges of Education in Ghana, the Ministry of Education and office of the Vice President as well as the scholarship committees on campus to facilitate communication
♦ coordinates the scholarship notification, and reports on privately funded scholarships
♦ manage applications coming from all Colleges of Education nation wide
♦ manage the scholarships database, the online portal by collating and processing applications accurately and speedily
♦ manage all social media account and launch a robust campaign to increase visibility and market penetration.
♦ carry out complete processing chain of applications from start to finishing and main a regular check on the system
♦ work with embassies and diplomatic missions and institutions to solicit for more scholarships packages
♦ carry out special duties any time when assigned

Minimum Qualifications:

Bachelor’s degree.Two years of successful professional experience in scholarship funding and managing donor relationships, financial aid or college admissions.

Exceptional interpersonal skills with all ages.

Strong written and oral communication skills, good interpersonal skills, excellent customer relations services, hard working with focus, team player and dynamics, leadership skills, highly innovative and efficient

Proficiency with Microsoft Office products, especially Microsoft Word, graphics design.

Must be detail-oriented and have excellent follow-through and planning abilities and must be able to manage deadlines.

Preferred Qualifications:

♦ Bachelor’s degree in Public Relations, Communications, Marketing, psychology or Business-related field.
♦ Prior experience in fundraising or development work.
♦ Demonstrated record of success in a related career field.
♦ Database or online portal management experience.

Associate’s degree in Business or related field. Directly related experience performing the duties of the job may substitute for the degree requirement on a year-for-year basis.  Three years experience in a foundation/development environment or other related business function.

Demonstrated Knowledge of: Foundation and development office procedures, programmes, (contributions, scholarships, etc.); personal computers and associated standard office software, basic customer service standards and principles; other office resources and equipment including phones and telecommunication systems, fax machines, copy machines. Demonstrated Ability to: Develop and maintain effective working relationships; effectively communicate verbally and in writing; provide effective and responsive service to customers and contacts; perform all assigned tasks efficiently and accurately and create and maintain accurate records; prioritize and manage multiple projects or change priorities quickly; operate a variety of office equipment; identify and resolve problems or issues with students, staff and clients.

Essential Duties Summary :

♦ Provides oversight and supervision of Crown University & Government of China scholarship programmes by working with the Director of International Affairs and Head of Global Exchanges, auditing documentation of existing Foundation funds to ensure all donor agreements conform to our policy, and monitoring active scholarship accounts to ensure that accounts to be used in awarding scholarships are funded and fall within established guidelines.

♦ Develops and implements policies and procedures to be used by the Scholarship Committee in determining scholarship awards.

♦ Serves as a liaison with the Office of International Affairs, the Head International Cooperation & Global Exchanges, and the Scholarship Committee by maintaining an accurate list of all scholarships activities on campus, working with the various offices concerning student awards and scholarships, and facilitating the flow of financial information to campus scholarship coordinators prior to awards.

♦ Working with the appropriate offices timely and effectively, helps coordinate and manage the scholarship notification and student donor thank you processes by notifying students by first class mail and email of the thank you letter process and coordinating receipt and review of thank you letters from students.

♦ Responsible for designing and developing a process to notify Financial Aid of receipt so funds may be disbursed.

♦ Compiles and reports metrics on an annual basis to assess the University’s performance in awarding scholarships.

♦ Facilitates and supports the accomplishment of established university fundraising goals by developing and maintaining cordial and professional working relationships with University administrative, support, and professional departmental staff and appropriate off-campus constituencies

♦ Assures donor confidentiality as well as the confidentiality of the projects undertaken by the Office of Advancement by conducting all personal contacts and communications with donors in a professional manner.

♦ Facilitates good donor relations by representing the Office of Advancement at functions and meetings as assigned and working with donors and potential donors, alumni, students, friends, and various constituencies of the University to strengthen their ties to Crown.

♦ In addition to adhering to all University policies and procedures, you will also adhere to the policies and procedures of the Office of Advancement.
♦ Provides guidance and support to the Scholarship Committee.

♦Works closely with committee chair to recruit committee members
♦ coordinate their efforts and plan monthly committee meetings to advance the committee functions
♦ Implements, coordinates, directs and maintains scholarship program, including preparation of new scholarship agreements
♦ maintenance and monitoring of existing scholarship agreements and maintaining regular contact with donors and students
♦ Acts as liaison between faculty/staff, students and the public to provide information and resources regarding scholarship activities and programs
♦ Maintains ongoing relationships by initiating and responding to individual donors, corporations and businesses, Foundation trustees, Administrators, community organizations and private foundations when renewing or securing new scholarship gifts.

♦ Prepares scholarship application process for students and coordinates scholarship application reading and scoring.
♦ Supports the Scholarship Committee in planning and conducting the annual Scholarship Reception.
♦ Assists other Foundation staff in office computer operations and database input, responds to questions/problems on system and software procedures and coordinates design and maintenance of scholarship web presence.
♦ Assists in the coordination of other foundation special events such as the Faculty & Staff Awards and other events as planned.
